Job Summary: The Administrative Coordinator represents the housing department in all functions and must possess excellent administrative skills, keen judgement, discretion, and diplomacy.  This position requires superior organizational and interpersonal skills.  The Administrative Coordinator provides support for facilities, IT, and invoice processing while managing day to day office workflows.

Duties & Responsibilities:

  • Oversees purchasing of office supplies and equipment for housing and provides monthly reconciliation.
  • Manages and responds to housing phone and e-mail.
  • Responds to all inquiries about programs, screens for services/assistance, updates and maintains program waitlists, and helps clients navigate internal and external resources.
  • Provides support housing stabilization and case management for individuals and families that are at imminent risk of losing their housing.
  • Provides light touch case management.
  • Provides a high-quality customer service environment for all clients.
  • Maintains client files and records.
  • Completes Homeless Management Information System (HMIS) and Community Information Exchange (CIE) data entry.
  • Provides support to the rental assistance and COVID response programs.
  • Participates in a staff meeting, case conferencing, and trainings as assigned by supervisor.
  • Records, produces, and distributes minutes of housing team meetings.
  • Purchasing and tracking agency inventory including supplies, and furniture.
  • Provides support for facilities, IT, and invoice processing
  • Maintains confidentiality.
  • Other duties as assigned.


Education: BA/BS or equivalent and three years related experience and/or training; or equivalent combination of education and experience. Knowledge: Understanding of non-profit organizations in general and the Home Start mission.

Skills: Must have effective communication skills and be willing to work as a team player.

Abilities: Demonstrated ability to be culturally sensitive and respect diversity. Essential personal attributes include stability, sensitivity, flexibility, patience, discretion, warm and friendly disposition, and non-judgmental attitude.

Other Requirements: Must have a valid California driver’s license, a safe driving record, automobile insurance, a reliable vehicle and be willing to use it on the job.

Physical Demands:

  • Sitting for long periods of time at desk or at required meetings.
  • Reading, typing or taking notes frequently.
  • Frequent use of telephone.
  • Occasionally traveling in car to meet with clients and landlords.

Work Environment:

  • The noise level fluctuates from quiet to noisy.
  • Meeting and office space is shared.

Condition of Employment

In accordance with the recent California Department of Public Health Orders, depending on work location and subcontractor requirements, employees must adhere to the below requirements:

  1. Provide a copy of your COVID-19 Vaccination OR undergo weekly COVID-19 testing and observe all other infection control requirements, including face coverings.
  2. Obtain either the first dose of a one dose regime or the second dose of a two-dose regime of a COVID-19 vaccine by September 30, 2021* in accordance with CDPH order dated August 5, 2021.
    *There may be exemptions to the vaccination mandate.
