The San Diego Natural History Museum is seeking a passionate, detail and customer-service oriented Reservations & Support Coordinator to oversee program reservations and support the activities of the Museum’s Education and Engagement division. Reporting to the Senior Manager of Education, the position is responsible for overseeing school, camp and public group/program reservations and registrations; managing invoices, scholarships and departmental purchasing; and providing additional logistical support for both the Education and Volunteer Departments.


Education Department 

  • Process sales and reservations for school group visits (in-Museum and outreach), public group visits, and public programs (such as summer camp).
  • Provide program descriptions, make recommendations and respond to all inquiries efficiently while ensuring that confirmation materials and visit details are accurate.
  • Update and manage school and group sales collateral with new information and pricing.
  • Maintain group sales calendars and inform Museum staff members of visits that impact their department.
  • Track and administer the Museum’s Access Fund for Title I schools and camp scholarships.
    Send out Group Admissions reports, program calendar and
  • Docent itineraries to proper Museum staff members and volunteers to ensure adequate staffing levels and timing for school group visits and programs.
  • Send programmatic evaluations or surveys to program participants; compile and prepare summarized survey response data for analysis.
  • Register and track school and informal groups into distance learning programs; provide support for distance learning programs with education staff as needed.
  • Manage group sales invoices and reimbursements.
  • Utilize Intaact to conduct purchase requests for the Education and Volunteer Departments.
  • Provide consistent and excellent customer service to guests, members, staff, and all other constituents by answering the
  • Museum’s Customer Service phone line and email.
  • Process camp registration forms and attend check-in for the first day of week-long summer camps; provide participant rosters to Education Department staff.
  • Provide staff break coverage or support supervisory needs of youth in camp programs.
  • Familiarize with the operations of the Nature to You lending library, acting as a substitute as needed.
  • Perform Education Department duties as assigned.
Volunteer Department 
  • Assist Director of Volunteers with administrative support tasks.
  • Utilize Volgistics to prepare and send outreach materials to volunteers including ongoing updates, program announcements, and DocuSign articles.
  • Prepare invoices for external volunteer program partners.
  • Coordinate use of meeting spaces and classrooms for both volunteer and programmatic use.
  • Run reports in Volgistics to codify time served by volunteer groups and individuals.
  • 2+ years of customer service experience
    College degree or 2-3 years of related experience
  • Intermediate to advanced Microsoft Office skills
  • Experience with a database-driven CRM and POS, Altru experience preferred
  • Excellent oral and written communication skills
  • Strong math aptitude
  • Highly organized and detail oriented
  • Professional demeanor, reliable, and hardworking
  • Ability to learn processes, procedures, and information quickly
  • Comfortable with public speaking and leading small groups
  • Ability to provide excellent customer service to a diversity of stakeholders
  • Excellent oral and written communication skills
  • Bilingual in English/Spanish is a plus
  • Must pass background check and Live Scan screening

This is a full-time, non-exempt position. Occasional weekend and evening work may be required.

This position is eligible for benefits such as health insurance, vacation, 14 paid holidays, free admission into all of Balboa Park’s museums as well as free admission to the San Diego Zoo and Safari Park.
